Last updated: ‹CONFIRM date› · Draft pending counsel review
Note: This Privacy Policy is a draft template intended to align with India's Digital Personal Data Protection Act, 2023 (DPDP Act) and to provide GDPR-style basics for visitors from the European Union. It should be reviewed by qualified legal counsel before this site is considered launch-ready.
1. Who we are
This website is operated by SamvidhX Systems ("SamvidhX", "we", "us", "our"), based in Pune, Maharashtra, India. For any privacy-related queries or requests, contact us at contact@samvidhx.com.
2. What information we collect
We collect personal data only when you choose to provide it, primarily through the contact / lead form on this site. This may include:
- Your name and company name
- Your email address and phone number
- The product(s) you're interested in
- Any message or details you choose to share with us
We may also collect limited technical information automatically (such as browser type and pages visited) via privacy-friendly, consent-gated analytics — see Section 6.
3. How we use your information
We use the information you submit solely to:
- Respond to your enquiry, demo request, or support question
- Provide quotes, proposals, or product information you've requested
- Maintain records of our communications with you
- Improve our products and this website
We do not sell your personal data, and we do not use it for unrelated marketing without your consent.
4. Lawful basis & consent
Where the DPDP Act 2023 or GDPR applies, our basis for processing the information you submit is your consent (given by submitting the form) and our legitimate interest in responding to business enquiries. You may withdraw consent at any time by contacting us — this will not affect any processing already carried out.
5. How your enquiry is handled
When you submit the contact form, your browser opens a pre-filled email addressed to contact@samvidhx.com via your email application. We do not currently route form submissions through a third-party form-processing service. Your message is then handled as a normal email by our team in accordance with this policy.
6. Cookies & analytics
This site uses a small number of essential cookies (e.g., to remember your cookie preference). Analytics cookies/scripts, if any, are loaded only after you accept them via the cookie banner. If you reject or do not respond to the banner, no analytics scripts are loaded. See our Cookie Notice for details.
7. Data retention
We retain enquiry/contact data for as long as necessary to respond to your request and to maintain reasonable business records — typically no longer than ‹CONFIRM retention period, e.g. 24 months› unless a longer period is required by law or an ongoing relationship.
8. Your rights
Subject to applicable law (including the DPDP Act 2023 and, where applicable, GDPR), you have the right to:
- Request access to the personal data we hold about you
- Request correction of inaccurate data
- Request erasure of your data
- Withdraw consent to further processing
- Lodge a complaint with the relevant data protection authority
To exercise any of these rights, email contact@samvidhx.com.
9. Security
This site is served over HTTPS. We take reasonable technical and organizational measures to protect any information shared with us, but no method of transmission over the internet is completely secure.
10. Changes to this policy
We may update this Privacy Policy from time to time. The "last updated" date at the top of this page reflects the most recent revision.
11. Contact
